AI onboarding & everyday help8 details

Help getting started, and help while the work is happening.

AI-assisted onboarding

Get guidance as you bring your shop into Stone Drive, so setup feels like a supported process rather than a list of unexplained settings.

An assistant that knows Stone Drive

Ask questions about using the system from inside the app. Get help with the page you are on and the steps your team needs to take.

Page-aware help

Use “What can I do on this page?” to ask for guidance in the context of the screen you are working on.

Changes for you to approve

The help assistant can propose changes for your approval. You keep control of the final action.

Guide me

Open step-by-step guidance for your work through the Help menu, alongside Ask AI and Report a problem.

Daily briefing

The dashboard’s “Brief me” tool brings attention to work that needs you, alongside stalled jobs, follow-ups and balances.

Setup checklist & app tours

Follow the shop setup list and revisit app tours as people learn the redesigned screens.

Workflow assistance

AI workflow editing is available for workflows without active jobs. Copy a live workflow before experimenting with changes.

Your website & public inventory7 details

Let customers see the stone you actually have, without exposing your internal business details.

Setup required

Link your stock page

Give customers a public link to available stone from your existing website. The stock page is an optional shop setting.

Setup required

Embed inventory on your site

Use the website code provided after enabling your public stock page to put inventory into your own website.

Slabs grouped by color

Present available slabs together by color, so visitors can browse materials instead of reading an internal stock list.

Remnants belong in the showroom, too

Show available remnants alongside slabs, creating a way for shoppers to discover smaller pieces you already have.

Availability follows the shop

The public page follows available stock, with updates described in the app as taking about a minute. Held, used and special-order slabs stay off the public list.

Keep internal information private

The public stock page excludes prices, costs, vendors, rack locations and block numbers. Your public showroom does not expose your purchasing or storage details.

Turn it on when you are ready

The public stock page stays unavailable until your shop enables it. You decide when to share or embed it.

Leads, customers & sales follow-up13 details

Keep a new inquiry from disappearing between the phone, CRM and sales desk.

Connected service

GoHighLevel contact intake

New contacts from your connected GoHighLevel sub-account flow into Stone Drive as customer records, including contacts originating in website forms, Facebook ads and missed-call workflows.

Connected service

Five-minute backup checks

A periodic check runs as a backup to the immediate lead connection, helping catch contacts if the first handoff is missed.

Assigned salesperson first

The first phone alert goes to the salesperson assigned in GoHighLevel. Unassigned inquiries go to Sales; shops with no Sales users fall back to admins.

Got it / I called them

The lead alert opens the customer with response actions. Acknowledging the lead stops backup alerts for the whole team.

Waiting, Mine & Answered

Use the lead list filters to separate unanswered requests, your inquiries and those already answered.

Optional setting

15 / 60 open-minute escalation

Optional backup alerts ping Sales again after 15 open minutes and owners/admins outside Sales after 60 open minutes.

Open-hours timers

Lead escalation counts time during the shop’s configured hours and time zone, rather than treating a closed night like a missed workday.

Repeat contractor requests

Existing builder and contractor inquiries are identified as new requests from an existing customer, rather than automatically being attached to an old job.

Search customer records

Find customers by name, email or phone. Keep job-site details, customer class and the associated work together.

Customer types & source tracking

Classify retail, contractor, builder and dealer customers. Record how customers found you and review results by source.

Estimate follow-up queue

Tasks surface presented estimates that need a response, with a configurable reminder interval and actions for Talked to them, No answer, Later and Lost it.

Customer viewed / never opened

Follow-up information distinguishes opened estimate links from unopened links and estimates presented without a link.

Connected service

Calls, notes & linked conversations

Keep logged calls and job notes with the work. Linked GoHighLevel records can bring connected communications into the job context; channel availability depends on setup.

Drawing & estimating15 details

Build the work visually and keep material, dimensions and pricing connected.

Multiple areas on an estimate

Separate kitchen, bath and other areas within the same estimate. Each area has its own pieces and material choices.

Draw countertop pieces

Use the canvas and supplied shapes for counters, islands, vanities and L- or U-shaped layouts. Select a piece to work with its dimensions and edge labels.

Sink, cooktop & faucet tools

Place openings and faucet positions in the drawing rather than relying on a detached written reminder.

Edge labels that mean something

Distinguish finished edges, walls, appliances and seams on the drawing so the shop can interpret the piece.

Edge profiles & buildup

Specify the edge profile and edge buildup alongside the material and drawing.

Backsplash in the estimate

Set backsplash details for the area and connect that choice to the work being priced.

DXF import

Import templated DXF geometry into the active area to replace its pieces with the supplied polygons.

Choose or compare materials

Browse stone options and use material photos while choosing the surface for the estimate.

Optional setting

Draw before the stone is picked

Sales can start the drawing before material selection. A shop setting controls customer-facing labor-only estimates; signing and acceptance require stone on every piece.

Live pricing breakdown

See area and edge measurements, estimated slab count, stone/goods, fabrication/labor, tax and the resulting total. Slab counts are estimates, not a cutting guarantee.

Per-estimate stone pricing

Use “Price this stone for this estimate” when a particular job needs its own material pricing calculation.

Text, undo & fit tools

Add drawing text, undo or redo canvas actions and fit the drawing into view while preparing the estimate.

Customer approval view

Present the estimate in a customer-facing view and share an approval link from the estimate record.

Estimate attachments carry forward

Attach drawings, photos, specifications and PDFs to the estimate. Attached files carry into the job when it is accepted.

Shop configuration

More than stone estimates

Enable cabinet, tile/flooring and accessory scopes for non-stone work your shop also sells.

Pricing, packages & commercial terms14 details

Use the shop’s rules without making every salesperson calculate them from memory.

Material markup defaults

Set a default markup over cost for new colors, while retaining individual prices you set for particular materials.

Separate customer-class discounts

Set material and labor discounts independently for retail, contractor, builder and dealer customers. Matching discounts apply to new estimates for that customer type.

Extra estimate discounts

Apply an additional manual percentage or amount discount when the job calls for it.

Landed stone cost

A setting accounts for sales tax the shop pays when buying stone, allowing that cost to feed the estimate’s stone-pricing calculation.

Labor rate controls

Configure fabrication rates by material price band and task charges for edges, cutouts, drilling and service work.

Cost beside selling price

The price list brings stone cost, markups, sink prices and other item prices together, including margin information.

Flat-price package deals

Create a promotion with eligible colors, a square-foot cap, an included edge, included sink quantity and customer-visible inclusions.

Package overages & upgrades

Set additional-slab pricing and coverage above a package cap. Premium edges, extra sinks and cooktops can remain additional charges.

Flexible payment schedules

Choose upfront, completion/net, 50/50, 50/25/25 or custom milestones, with terms printed on the customer estimate.

Per-customer terms

Override shop payment defaults for a particular customer, useful for builders and contractor accounts with different terms.

Price-lock & change orders

After signing or collecting the deposit, price changes use change orders. Set the threshold for recorded verbal approval versus customer link approval.

Approval before CAD

A change above the configured threshold requires customer approval and holds the job out of CAD until approval is received.

Manager-authorized overrides

Use a manager PIN for estimate-line overrides and other supported exceptions, with overrides logged.

Tax & regional pricing

Configure sales-tax rate, whether labor is taxed, tax labels and tax-inclusive pricing for supported regional setups.

Slabs, remnants & purchasing16 details

Follow material from the supplier, through reservation, to the cut and the leftover.

Real slab photos

Show actual material photos in the stock browser, grouped with the stone’s color, type and available/held counts.

Search & material filters

Find stock by color, block or vendor and filter by granite, quartz, quartzite, marble, soapstone, porcelain and other stone.

Bulk slab entry

Use Add many to enter multiple slabs rather than creating every record one at a time.

Dimensions, finish & thickness

Keep material dimensions, surface finish and thickness with the slab or remnant record.

Reserve slabs for a job

Hold specific stock for a job so material availability follows the work instead of being managed on a separate list.

Share a slab across jobs

The job Materials tools support sharing one slab with another job when both pieces of work use that stone.

Mark used at the saw

Record the cut stone and mark slabs used from the saw step, where the inventory change actually happens.

Save usable remnants

Record the leftover dimensions after cutting, or confirm that there is no usable leftover.

L-shaped remnants

Track an L-shaped remnant with its outside dimensions and removed corner, rather than treating every leftover as a rectangle.

Remnant status & search

Filter available, reserved, used or scrapped remnants and search by color, material, code or location.

Remnant-specific pricing

Set discounted remnant material rates by stone type, separate from regular slab prices, for use on estimates.

Pull available remnants into work

Use available remnant stock for a job rather than overlooking smaller pieces that already fit the work.

Purchase-order stages

Track purchase orders through draft, submitted, confirmed and received views, alongside supplier and expected-date information.

Suppliers alongside stock

Keep supplier records and purchase orders in the same inventory area as the materials you are buying.

Slab & remnant barcode labels

Print stock labels on supported thermal sizes or a custom size so physical pieces can be identified in the shop.

Inventory setup reminders

Items entered quickly can be flagged for finishing their brand, model, dimensions or other required setup information.

Production, layout & quality control14 details

Make the next step clear and keep the right information with the person doing it.

Configurable workflows

Set phases, required checklists, responsible roles, decision gates and kickbacks. Separate workflows can serve stone, cabinets, tile, service or fabrication-only work.

Workflow path & checks

See the path a job takes and warnings about steps or connections that could leave a job stuck. Copy active workflows to experiment safely.

Role-based task queues

Filter work by role, person or unclaimed status. Tasks are arranged around what is next and the installation date.

Claim the work

“I’ve got this” tells the team who is handling a step; role members can still help or take over.

Complete from the job page

The Complete step bar lets the team work through the current phase from the job itself.

Required gates before advancing

Supported steps check items such as signed contracts, material reservation and recorded deposits before work advances, with manager exceptions where configured.

Upload-driven checklist items

Photo and DXF requirements can be tied to actual uploads instead of relying only on a hand-ticked checklist.

Kick work back deliberately

Send a job back for re-template, sales revision or another production step with a decision note and a defined return path.

Slab Layout Pro

Drag countertop pieces onto slab backgrounds at approximate inventory scale, using real slab photos when uploaded.

Pre-contract or job nesting

Open layout from an estimate before contract, or from the job when the work is in production. Saved layouts stay associated with the work.

Crew-ready drawings & notes

Shop-floor screens bring drawings, material and shop notes together with the current checklist and files. Sales notes stay in the office view.

Recut tracking

Log recuts for selected pieces and send the work back to the saw. Reporting breaks recuts down by reason, phase, person and job.

Quality-control checklist

Use the shop’s configured quality checks and print the QC checklist at the end of the part-label run.

Job history & phase timeline

Keep completed phases, pending steps, notes and changes with the job, giving the office a way to see where work stands.

Template visits & installation12 details

Capture the details at the job site, while the customer and crew are there.

Template work orders

Give the templator a work order with the site contact, field instructions and per-piece notes.

Optional setting

Customer template sign-off

When enabled for retail jobs, hand the crew’s phone to the customer to confirm the template checklist and sign.

Exceptions alert the office

Anything the customer marks not OK needs attention from the salesperson and admins. Template completion can require signing, with supported manager exceptions.

Customer-language defaults

Default sign-off items can display in the customer’s language. Shops can adjust checklist items and welcome/thank-you wording.

Before & after installation photos

The install close-out card distinguishes before and after photos, giving the job a visual record and marketing usable material.

Pieces-installed check

The installer records the installation check alongside the photos, collection and customer sign-off steps.

Optional setting

Customer install check-off

Hand the phone to the customer for their checklist and signature. The customer check-off view keeps prices and job details out of that handoff.

Balance-only field collection

The install workflow focuses the crew on the balance to collect rather than giving them the office’s full pricing breakdown.

Not collected has a reason

Use the supported not-collected reasons, including builder/contractor terms, payment to the office or an unsuccessful collection.

Office collection handoff

A customer paying the office can be handed to the Sales and Bookkeeper collection queue, keeping follow-up visible.

Return visit needed

Flag a return trip and notify the salesperson. The workflow supports follow-up rather than pretending the original visit resolved everything.

Installation & collection paperwork

Print installation orders and balance-collection slips for the field, alongside the job’s drawings and supporting documents.

Scheduling & multi-stage work9 details

Coordinate visits, people, crews and jobs with more than one trip.

Day, week & month views

Change calendar views and jump to Today, previous or next periods depending on the planning task.

Visit types beyond installs

Schedule templates, sales measures, service calls, cabinet installation/delivery, pickups and custom events or time off.

Filter people & crews

Narrow the calendar by visit type, team member or install crew so the office can see the relevant assignments.

A calendar column for each crew

Each crew gets its own Day-view column. Usual people can fill in automatically when the crew is selected and can be adjusted for a job.

Navigate the day’s stops

Open directions for scheduled stops with addresses, following their scheduled order.

Cabinet schedule

Use the cabinet schedule alongside the main calendar for cabinet installation or delivery work.

Full-splash trips

Configure full splash for the counter-install trip or a separate installation day; a splash stage can have its own template and installation schedule.

Commercial buildings & stages

Use multi-stage job organization for commercial work, with configurable group and sub-stage wording and a generator for multiple stages.

Separate job types

Retail, Full Splash, Commercial and Fab Only describe different work. Fabrication-only work deliberately omits template and installation.

Social media & photo preparation12 details

Turn completed work into a draft your team can approve and share.

Setup required

Completed installs create drafts

When enabled, finished installations create draft social posts from their install photos.

Captions from the job

AI writes a hook, stone and work details, a call to action and the shop phone from job information.

Customer privacy in captions

The social-post screen describes customer names and addresses as removed from generated captions.

Pick photos & their order

Select the photos that belong in the post and arrange the selected sequence. Before/after tags help identify what each photo shows.

Photo preparation

The post screen shows prepared photos with lighting/color-cast corrections, brightening, sharpening and fit trimming, with an option to see originals.

Approval before posting

Designated approvers and admins review drafts. Nothing publishes without approval.

Brand voice

Set how your captions should sound so drafts follow the shop’s chosen voice.

Multiple brands & pages

Choose the brand and its connected pages. The main brand is the default unless an approver selects another.

Connected service

Google, Facebook & Instagram

Send approved posts to selected connected social pages through GoHighLevel Social Planner. Connected accounts and setup are required.

Review, Posted & Not posted views

Separate work awaiting approval from posts already sent and items not posted.

Nextdoor handoff

Prepare photos and caption for manual Nextdoor sharing. Nextdoor is not posted to automatically.

Optional add-on

Finish the room

An optional add-on can finish unfinished walls, floor and other room details in a photo. The approver chooses the original or finished view; the app describes stone-changing edits as rejected.

People, time & everyday usability12 details

Give each person a useful view and reduce the effort of learning the system.

Shop roles

Organize sales, templating, CAD, saw, programming, router, QA, installers and bookkeeping around the work each role does.

View as a role

Admins can preview how the system looks to another role when checking setup or helping a teammate.

Optional setting

Clock in from where you work

The time clock is available from the dashboard, Tasks and its own screen when enabled.

Weekly timesheets

Review hours by person and week, including missed punches and location flags when configured.

Logged punch corrections

Fix missed time-clock punches with an audit trail of the corrections.

Payroll exports

Export timesheets as CSV or print/PDF for payroll work. Payroll hours are distinct from the Cost to Produce calculation.

Low-stock supplies

Track blades, polishing pads, core bits, glue and other consumables. Configured thresholds show Running low tags in office and crew supplies views.

PC and phone layouts

Use the redesigned interface at a desk or on a phone, with navigation and crew layouts suited to the device.

Dark & light modes

Choose the display theme that suits the person and working environment.

English / Español crew controls

My Tasks includes English and Spanish language controls for the team.

Search across the system

Use Search everything to jump to a customer or job from the app header.

Region & measurements

Configure supported currencies, inches/square feet or millimetres/square metres, date order and tax labels.

Money, costs & reporting17 details

Connect the work being sold with what it costs and what remains to collect.

Payment recording

Record deposits, partial payments and final balances against job milestones. This is payment tracking; online payment processing is excluded from the soft launch.

Card-fee recording

A configured percentage can add a card fee when recording a card payment, separately from the amount owed for the work.

Collection queue

Sales and Bookkeepers can see office-collection follow-up from the job and Tasks.

Cost to Produce

Separate the cost of making a square foot from installing it, using configured payroll, taxes, overhead and operating costs. Stone is excluded from this production-cost calculation.

Bills, machines & supplies inputs

Monthly bills, machine/maintenance costs and consumed supplies feed the production-cost picture when the shop maintains those records.

Shop/install overhead allocation

Assign costs to shop, installation or both, with allocation settings for shared bills.

Job profitability

Review material and labor margin by job rather than relying only on total sales.

Cash-flow forecast

Review 30-, 60- and 90-day cash-flow views based on install dates and recorded job information.

Receivables aging

See unpaid balances grouped into 0–30, 31–60, 61–90 and 90+ day bands.

Payments received & installs completed

Review payments by date for matching receipts and completed installations for selected date ranges.

Revenue & salesperson results

Analyze cost and margin by product category and estimates, wins and revenue by salesperson.

Lead-source performance

Compare customer sources by win rate and revenue to understand what brings business.

Slab utilization

Review stock status mix, age, scrap and dead stock alongside inventory decisions.

Recuts & warranty callbacks

Track work that comes back and its recorded costs, with recut breakdowns by reason, phase, person and job.

Labor cost

Review recorded hours and costs by job and person.

Money health check

A nightly check looks for money-related inconsistencies for review. Treat findings as prompts to investigate, not a substitute for accounting review.

Printable reports

Print or save supported reports as PDF for office review.

Documents & connected systems11 details

Send the right information to the customer, crew and office.

Branded estimates & documents

Use the shop logo and choose classic, modern or minimal printed layouts, accent colors, titles, headers and footers.

Choose estimate detail

Configure customer/internal copies and short, itemized or per-piece detail. Drawing visibility and material/labor sections can be adjusted where supported.

Terms, warranty & disclaimer

Maintain the shop’s contract wording for customer approval and signed documents.

Role-specific work orders

Use fabrication orders without pricing, installation orders with field information, and template work orders with per-piece notes.

Collection slip & invoice

Keep an installer’s exact balance-to-collect slip distinct from the itemized office invoice.

Labels that fit your printer

Choose supported slab/remnant thermal-stock sizes or custom dimensions. Piece labels use the four-inch roll.

Choose the documents you use

Hide document buttons your shop does not need, while previously printed or sent documents keep working.

Photos, PDFs & CAD files

Keep job and estimate files with the work. Desktop job pages group Documents, DXF, Template, QC, Install and Other into tabs with counts. File groups retain stage labels for separate trips. Mobile currently uses stacked sections. Upload photos, drawings or PDFs, with ZIP upload support where provided.

Setup required

Your email domain

Email setup supports verifying a shop domain for customer-facing email rather than relying only on a generic sender.

Setup required

API & webhooks

Configured integrations can use shop API access and change notifications to connect outside systems. Integration setup is required.

Not in soft launch

QuickBooks launch status

Automatic QuickBooks syncing is excluded from the soft launch. Bookkeeping documents remain available for manual accounting entry.
